BOARD MEETING MINUTES
JANUARY 13, 2009



President Gary Vogel called the meeting to order at 6:31pm

Gary welcomed everyone to the new location at the Patio Grill it’s great that we can order food while we meet. He stated that we were not quite done marching season with the 2 upcoming parades. The kids have given 100%.

1. DIRECTORS REPORT – MR. MALCOLM & MS. NEWHOUSE

Mr. Malcolm thanked everyone for the change in location. They love the band room but it is nice to get out. He stated that if this location doesn’t work out we can always go back. He introduced Mr. Michael Jennings who is the new intern. Mr. Jennings is finishing his degree at FSU and is a trumpet player. They are putting him to good use. Mr. Jennings stated that he was glad to have this internship and was looking forward to it.

Mr. Malcolm gave a report on Allstate. Eight student participated, 4 – 9th-10th, 3 – 11th - 12th band and 1 11th - 12th in orchestra. It was the highest number of students we have had. This was an amazing experience for the kids. They got to work with a composer & conductor. Everything went smoothly.

Semester exams are this week with no school on Monday and a teacher workday on Tuesday. Students will come back on Wednesday and they will start back into rehearsals.

All County is being held at Winter Springs High School on January 29th - 31st. Jazz MPA is February 5th & District 6 Solo Ensemble is February 6th-7th. We will have about 60 kids participating.

Upcoming Parades – State Championship parade will be held on Wednesday the 14th. The city will be paying tribute to the football team. This was a great year and the team really played with heart. It really shows everyone what you can do. This parade will be a special experience. We will meet at 1:00pm at City Hall and the parade will end at the Baseball Stadium. Declarations will be given by Lake Mary & Sanford. The team will get certificates for their rings and mini keys to the city. There will be a BBQ at the conclusion for everyone. There will also be a big Pep Rally on Saturday.

Monday the 19th is the Martin Luther King Day parade. There has been a route change, the parade will be ending at West Coast Line Park.

February 19th will be our Jazz concert with Mr. Wawoe’s group. We will have a dress rehearsal on the 16th. We will be meeting this week to go over details. We want to do this as a fundraiser and pre-sell tickets.

Gary thanked both the directors for all they do and asked everyone to introduce themselves to Mr. Jennings.

2. PREVIOUS MEETING MINUTES

Previous meeting minutes – everyone received by email. A motion was made by Bryan to accept the previous minutes that were received by email and the motion was seconded by John. The motion was passed unanimously.

3. TREASURER’S REPORT

Cheri handed out copies of the treasurer’s report and answered all questions. She explained that this year we are using actual numbers to reflect our budget so we will have great numbers for next year. Ms. Newhouse explained that the FBA Assessment fees have gone up this year from $3.50 to $5.15 per student.

Penny gave a report on Dues and stated that we were in the same spot. There were 5 students that have not paid at all and 15-20 who have not paid completely. Mr. Malcolm suggested that we make calls to the parents because they may not know and then hand them over to the bookkeeper. Everyone thanked Penny for the great job she has done.

 A motion was made by Sue to accept the treasurer’s report as presented and the motion was seconded by John. The motion was passed unanimously.

4. SUE – FUNDRAISING & BAND TRIP

 There are a total of 98 people going – 79 students and 19 chaperones. The price has been guaranteed at $578.00 per person. That price includes tips and everything. It was decided a while back to use security instead of parents and the security will be done by the travel agent. The pay for them is usually around $5.00 per student. Kaleidoscope has let us know that if the price of gas stays where it is then they will give us a credit. We will have to keep an eye on this.

There will be a trip meeting on January 27th at 7:00pm in the band room for all parents. A question was asked if we could add student who may still want to go and Sue stated “Yes”.

 Sue stated that there were going to be more fundraising location for February. There is a new Publix location for Super bowl weekend and the BK’s are always there for anyone. They need chaperones for all locations and she will have all the information emailed out. She stated that Burger King still owes us $350.00 for the sign banner and she will follow up on that..

5. SHERRI (IN ABSENTIA) - SPIRITWEAR

As I am in class the entire day at UCF on Tues. and Thurs. this semester, I am not sure I will be able to make the scheduled meeting; therefore I have attached a Spiritwear report with the most current figures of profits realized by the committee.

So far we have surpassed the 07-08 school year by $735.15.

 She has done an awesome job with the letterman jackets. As well as a great job overall.

6. KIERA (IN ABSENTIA) - UNIFORMS/CONCERT WEAR

We should have samples of the new concert dresses sometime mid January. The old uniforms need to go. We are still waiting on a sample for the pillows. A motion was made by Sue to sell the old uniforms for $30.00 and the shako & plumes for $5.00 and the motion was seconded by Bryan. The motion was passed unanimously. We will not be selling the pants. The students will be able to bring the money in from the 21st-23rd and will get their uniforms as they are paid for. We can also distribute them at the meeting on the 27th.

7. MR. MALCOLM – BENEFIT JAZZ CONCERT

The Jazz benefit concert will be held on February 19th. Michele printed out sample flyers and tickets for everyone to see. We would like to put these in areas stores as well as the area newspapers. Other ideas suggested: SGTV and Channel 13. This concert will include a group of professional musicians, the Jazz Chiefs and some other instruments. Mr. Wawoe will be meeting with Mr. Malcolm on Thursday the 15th at 6:00pm to go over the details of the event. A committee was set up to help with all the detail of this event. Sonia volunteered to be in charge of the committee and report back to the board with the details. We will have another meeting prior to the event.

8. SONIA – PHOTO/VIDEO

1.Photo/video. The football post season has provided unending
opportunities for photo and video. In December I posted several videos of
the band and football team. I had planned to post audio and video files from
the winter band concert, but did not receive the names of the selections in
time. Plus the playoffs were keeping me very busy!

A DVD of the full Orchestra-Jazz concert is now available for purchase.
Order forms were available at the concert, and I will post it on the web
next week. Based on the volume of sales of the Winter Band concert last
year, it is not worth making a separate DVD of that concert. I will include
segments of that concert on the Concert DVD, so nothing is ignored.

The DVD of Marching Season will be ready (hopefully) in time for the FBA
concert in Feb. We'll take preorders and also have a few available in the
foyer.

Here's my current plan for DVDs:
i. Marching Season.
ii.Winter Orch-Jazz Concert
iii.Concert DVD-FBA ensembles, segments from the Fall
concert, segments or whole FBA District concert performances, segments from
State S/E if I am able to record them.
iv.Spring Concert DVD: Percussion, Prism, Orchestra (may be
too much material for one DVD, in which case I'd do Orchestra separately)
v.Feb Benefit Jazz Concert

We do not have anyone so far to take video next year. The one person who
stepped forward has still not provided me with a sample, so I have no way to
know about the quality of her work. I approached a parent who was
videotaping at a game, but his equipment and computer are too outdated.


I will be making a motion at the board meeting that board members can buy
DVDs at half price. This small group of parents shows outstanding and
unwavering commitment to the band, and this would be a token fringe benefit
for their volunteer work. The band will not lose any money in this
transaction. I'd like the board to extend that benefit to spirit wear as
well, and I'll put that forward in a separate motion.

2.Publicity: Noles News. The Band has now graduated to having our
own section in the Noles News. I knew it was only a matter of time, I've
been consistently inundating them with bite-sized snippets for 3 years. The
Dec issue listed all the Honors Band students and the news about the MPA
Superiors.

3. Newsletter: The Nov newsletter was mailed out in mid December. Next
time, I will stick to our policy and it will go out on schedule with
whatever I have received on time. I have advised my successor Michele Wawoe
to do the same. I hope you liked this issue, which was mailed home the week
before we went to the Citrus Bowl.

I will be updating the "Special Issue for Incoming Families" so that the
band directors have it in time for their middle school visits. At the board
meeting I would like to discuss when the next newsletter should go out.

4. Journey's Ed. I applied for SHS to become a sales affiliate back in
mid-Dec, but have not heard back from them. I will follow up next week.

Journeys Ed has approved us as an affiliate so Sonia and Rob will work on that in the coming months. Bryan suggested that we look at Café Press, a website that we may be able to use for selling merchandise with the band logo on it.
The date for the next newsletter will be sometime mid May.

 The web site seems to be the place to go to get the most up to date information. DVD’s are a concern for next year. We are trying to find someone to take over. It was suggested that Mr. Malcolm speak with Mr. Smith in TV production and see if his students may be interested. We would give them samples of what we want and they can see if they are interested.
 
The directors asked for about 15 sets of DVDs to use at their discretion and the board approved.

9. NEW BUSINESS

Rob gave an update on the web site. There are 400 hits per week, it is running at 99% efficiency, we have 285 email addresses and the server is stable.
Kathy told everyone that on January 27th the football team will be honored at the Magic game. They are looking for all the help they can get for the Pep Rally on Saturday. There will be a silent auction and the players will be signing autographs.
Gary gave an update on Terry and said she is still working on the banquet.
John suggested a nominating committee be formed. Gary stated that he would head it up and will need 3 people to serve. Michele Bozarth volunteered so we are looking for 2 more people.

The next meeting will be on February 10th at 6:30pm at the same location. Gary adjourned the meeting at 8:11pm
